Secretary - Overview of Position

Oversee and manage the general correspondence and documentation matters of the Puget Sound Business Travel Association (PSBTA).  Responsible for creating and updating records of the proceedings and activities of Chapter.

This board position will need to be able to commit 6 + hours per month

Essential Functions/Roles & Responsibilities

  • Send meeting minutes to BOD within one week of Board meetings

  • Present the BOD with a complete record of actions, assigned tasks, etc from each meeting in a timeline that allows for Board review prior to the next meeting

  • Oversees meetings according to Robert’s Rules of Order

  • Facilitate general membership voting for annual Member of the Year Award

  • Ensure  thank you notes are sent to speakers and to other guests as necessary

  • Maintain all Chapter records and documentation ensuring full access by BOD members.

  • The Secretary shall be the custodian of the bylaws and chair the bylaws committee if amendments or changes are needed.

  • Attend all board of directors, membership and any special meetings as required.  If unable to attend, notify President and ensure agenda has been supplied in advance and find meeting replacement for not taking.

  • Maintain an accurate email distribution list for the meeting minutes.

  • Perform other duties as may be assigned by the president and board of directors.

  • Assist with successor hand off, including past minutes and recent board email list.

Minimum Critical Competencies and Qualifications

Member in good standing of GBTA Washington (hereafter referred to as Chapter) 

Employed in a travel-related service industry or in a position that procures travel services for employees of an organization as outlined in Article 3 of the GBTA Washington Bylaws 

Attend at least 85% of all Board functions, and 75% of all association meetings
