Treasurer - Overview of Position
The objective of the Treasurer’s position is to assist in the operations and management of the GBTA Puget Sound Chapter with a focus on finance. This is a very engaged role as the Treasurer oversees and assists with all financial operations of the chapter.
Treasurer Job Description
Oversees and manages the financial matters of GBTA Puget Sound Chapter. Responsible for maintaining bank and tax records, paying vendors, filing and paying taxes, ensuring organizational licenses, state filings, insurance coverage and accreditations are maintained, shares financial overviews with board on a scheduled cadence.
Roles & Responsibilities
The below are the expectations of the duties for the Chapter Treasurer

Develop annual budget for the Association in collaboration with the Executive Board and all Committee Chairs

Provide bi-annually financial summaries or any other ad hoc reports to the Board. All financial records are subject to accountant review.

Overview of funds received and paid out

Remaining budget for events, scholarships

Monthly Event Template – funds in vs. funds out

Manages all financial transactions including checking accounts, merchant transaction fees and coding in site for items such as:

Chapter lunches, event payments

Bingo Cash Collection and deposits
-
Hotel event site payments
-
Speaker/Event Vendor related payments
-
Chapter membership payment coding
-
Any chapter member expense reimbursements
-
Checks incoming mail via PO Box
-
Deposits Chapter checks as needed, reconcile credit card receivables and fee schedules as needed

Ensure organizational state and federal records are maintained:

WA Secretary of State Annual Report filed by March 31st

Update officers of the company by January 31
-
WA Dept of Revenue taxes filed by April 15
-
IRS taxes filed in collaboration with chapter accountant
-
Insurance: COI and GBTA required officers liability
-
Presides over the Scholarship Committee Board

Ensure a minimum of two other Executive Board Members have access to all financial accounts including bank account, credit cards and any savings/investment accounts, Quickbooks or any other financial software being used for bookkeeping.
Minimum Critical Competencies and Qualifications for Puget Sound Chapter Treasurer

Member in good standing of GBTA Puget Sound

Employed in a travel-related service industry or in a position that procures travel services for employees of an organization

Attend at least 85% of all Board functions, and 75% of all association meetings

Experience in managing budgets
